Description The Danish National Police and Prosecution Service are in the process of deciding on a possible replacement of its legacy Record Management Systems (RMS) and Case Management System (CMS). The purpose of this RFI is to understand the capabilities of the market in providing a modern, scalable, and maintainable solution that will replace the existing systems and ensure continued operational efficiency within the Danish National Police and Prosecution Service. The purpose is also to learn what approach experienced vendors will suggest regarding architecture, implementation, data migration and organisational change management.

Additional information Based on this notice, the Danish National Police hereby invites relevant vendors to participate in this market dialogue. For the purpose of this market dialogue, the Danish National Police has prepared a RFI, which vendors are invited to respond to and submit as specified below. The RFI is available via EU Supply. Vendors should submit their responses to this RFI in writing, providing as much as possible of the requested information. The responses to the RFI can be in either Danish or English and has to be submitted via the e-mail address kit-rfi-modernisering@politi.dk . Only PDF files submitted via the e-mail address above will be considered. The Danish National Police reserves the right to request additional information or clarifications. The Danish National Police points out that failure to respond or only partial responses to the RFI does not exclude the vendor from partificating in a future tender(s). Based on the responses received it is expected to have individual on site dialogue meetings with a representative selection of suppliers who have provided answers to this RFI. Due to time and resource constraints the Danish National Police reserves the right to only invite a limited number of participants to the dialogue meetings. The meetings, as well as the answers to the RFI, can be in either Danish or English. Deadline for responses is Monday the 1st of September 2025 at 12.00 CET. Meetings with a representative subset of potential vendors is planned to be in October and November 2025. Based on the process above and available finances, a strategy and plan for a possible tender will be decided. The Danish National Police emphasizes that this notice is not a call for tender applications and participation in the RFI and potential meetings will not have any impact for participation in the possible coming tender(s). It shall furthermore be stressed that replies given to the RFI and during the following dialogue will not in any way be part of any later assessment. All Information given by vendors during this RFI process will be treated as commercially confidential and not shared between vendors or publicly. The Danish National Police will process the information in compliance with applicable laws and regulations, including GDPR. The Danish National Police is committed to ensuring that the new systems will provide a modern, scalable, and secure foundation for its operations. This RFI is an essential step in understanding the available capabilities and solutions in the marketplace. We appreciate your participation and look forward to receiving your response.
