The University of Aarhus intends to purchase a digital examination system and intends to conduct a marked dialogue on general and strategic topics in order to obtain a future-proof system. The purpose and description of the market dialogue is described in Section II.2.4) below. The procedure for participating is described in Sections II.2.4) and VI.3).

II.2.4) Description of the procurement:

The purpose of the dialogue is to understand the market of digital examination systems and further to ensure a procurement process with a broad field of participants. The Contracting Authority intends to complete several rounds of the market dialogue. The first round of dialogue meetings is expected to be held on the 3., 4., 11. and 12. of June 2019. The Contracting Authority expects to hold further meetings during 2019. Detailed information on the topics of the expected dialogue rounds and detailed agendas will be forwarded prior to the dialogue rounds and dialogue meetings.

The dialogue will be held at the premises of the Contracting Authority in Denmark. First round of the market dialogue is expected to encompass a demonstration of the individual potential bidder’s solution. Afterwards the dialogue will be a discussion of the scope and functionality of the system, operation, service and support, implementation and system integrations. A more detailed agenda will be forwarded prior to the dialogue.

The Contracting Authority would like to get in touch with potential bidders. Interested parties are kindly asked to upload a brief (maximum one A4 page) description of their company and of its experience in digital examination systems area and include any relevant material on their system solution via https://tender.konnect.dk/invite/426

The submitted request must be received no later than 1.5.2019. The Contracting Authority expects to complete the first round of the market dialogue with 3-4 interested parties. If more interested parties wish to participate, the Contracting Authority will select the parties that have either the best experience or will help to ensure a broad field of specialist participants.

Please note that the estimated date of publication of the contract notice in Section II.3) below is tentative given that the overall tender strategy for the project has not been finalized yet. Besides Aarhus University 3 other danish universities will have a non binding access to the future contract. The universities are: Aalborg University, Copenhagen Business School, Copenhagen University. It is optional for the listed others than Aarhus University to use the future contract.
